Register a Patient and Book an OPD Appointment

A step-by-step walkthrough of registering a new outpatient in CareOS, booking their consultation, recording payment, and checking them into the OPD queue.

Follow one outpatient visit through CareOS from registration to a completed doctor consultation: reception, nursing, and the doctor's workflow.

Before you begin

  • Complete "Admin and Facility Setup" first so the doctor profile, availability, and consultation fees already exist in CareOS.

Step-by-step instructions

    Search before registering

    Sign in as the receptionist and search the patient list first to confirm the patient is not already registered before creating a new profile.

    Register the new patient

    Open New Patient and enter the patient's basic information, contact details, and address. CareOS checks the phone number for possible duplicate records before you continue.

    Choose the doctor

    After saving the patient, continue directly into appointment booking and select the doctor and specialization for the visit.

  4. 4

    Book the appointment slot

    Choose the visit type, enter the reason for the visit, select an appointment date, and choose an available slot from the doctor's working schedule.

    Collect the OPD payment

    Continue to billing, where the consultation charge is already included. Select Collect now, choose the payment method, and enter the amount received.

    Generate the invoice

    Review the total, confirm the remaining balance, and save the bill. The invoice keeps the patient, visit, charges, and payment connected in one place.

    Open Reception Today

    Move to the Reception Today view to see the booked appointment before the patient is added to the active OPD queue.

    Check the patient in

    Once the patient has arrived, select Check In. CareOS creates a queue entry, assigns a token number, and updates the appointment status.

    Confirm the reception workflow is complete

    Confirm the patient is registered, the consultation is booked and paid, and the patient is waiting in the OPD queue.

    Hand off to nursing

    With registration, booking, billing, and check-in complete, the visit is ready to continue with the nursing vitals workflow.

What success looks like

The patient has a CareOS patient record with a hospital-local patient ID, a booked OPD appointment with the doctor, a generated invoice with payment recorded, and a queue token — with an appointment status of Checked In and ready for the nursing team.

Troubleshooting

The patient search returns an existing record instead of an empty result.

Use New Patient only after confirming there is no existing match — if a match is found, open and use that existing patient record instead of creating a duplicate.
