Before a patient can book an OPD appointment, the hospital team needs to be ready.
Reception needs the right access.
Nursing needs the right access.
And the doctor needs an active profile, a working schedule, and the correct consultation fees.
In this video, we'll set all of that up for Hussaini Hospital.
We're signed in as Aliya Sheikh, the hospital administrator.
Let's begin by setting up our reception team.
Open Administration, and select Staff Access.
This is where we can create staff accounts, assign their roles, and manage their access within the hospital.
Select Create Staff.
We'll start with Zara Iqbal, who will be working at the front desk.
Enter Zara's account information.
Assign her the Receptionist role.
For her designation, enter Front Desk Executive.
And for the department, enter OPD Reception.
Review the information, and select Add Staff.
Zara is now active as a receptionist for Hussaini Hospital.
Her Receptionist role gives her the permissions configured for the front-desk workflow.
Later, she'll use this account to register our patient, book the appointment, manage billing, and check the patient into the OPD queue.
For now, let's prepare our nursing staff.
Select Create Staff again.
This time, we'll create an account for Sana Malik.
Enter Sana's account information.
Assign her the Nurse role.
Set her designation to Staff Nurse.
And set the department to OPD.
When creating a new staff account, we'll also provide a temporary password.
For security, passwords and private contact information should never be shown in a public recording.
Once everything has been reviewed, select Add Staff.
Sana is now active with the Nurse role.
Later in our OPD journey, Sana will use this account to review the patient's visit and record their vital signs before the consultation.
Before moving on, let's briefly open Sana's staff profile.
From here, an authorized administrator can manage basic profile information, reset the account password, and update the hospital role when required.
Staff access can also be temporarily blocked and later reactivated.
And when someone permanently leaves the hospital, their hospital access can be removed according to the hospital's approved offboarding process.
We don't need to change anything here, so let's continue.
Our reception and nursing staff are ready.
Now, we need to set up our doctor.
Go back to Administration, and open Doctors.
Select Create Doctor.
We'll create a new account for Dr. Ayesha Khan.
Enter the required account information.
The Doctor role is automatically associated with this workflow, keeping the staff account and doctor profile aligned.
For the department, select General Medicine.
And for the designation, enter Consultant Physician.
Review the information, and select Add Doctor.
Dr. Ayesha's account and doctor profile have now been created.
But creating the doctor is only the first step.
Before patients can book appointments with her, we need to configure her profile, availability, and fees.
Let's start with the profile.
Set the specialization to General Medicine.
Enter the prepared demonstration registration number.
Set the department to General Medicine.
And set the designation to Consultant Physician.
Keep the status Active.
Then enable Accepts appointments.
This allows Dr. Ayesha to participate in the OPD appointment workflow once her schedule is configured.
Review the information, and select Save profile.
The doctor profile is ready.
Now, let's configure when Dr. Ayesha is available for appointments.
Open Availability.
We'll use the hospital's configured local timezone.
Set the appointment duration to twenty minutes.
Now, enable the working day we want to configure.
For the morning session, set the working hours from nine in the morning until one in the afternoon.
Then add another working window from two in the afternoon until five.
This creates separate morning and afternoon sessions, with a one-hour break in between.
These working hours determine which appointment slots reception can offer when booking patients with Dr. Ayesha.
Care OS also supports an emergency override when it is enabled for the doctor.
When a reason is required, an authorized user must provide an explanation for the exception.
For regular OPD appointments, we'll continue using the doctor's normal available slots.
Review the schedule, and select Save availability.
Dr. Ayesha now has a working OPD schedule.
Of course, a doctor's schedule won't always remain the same.
There may be leave days, hospital holidays, special working hours, or individual periods that need to be blocked.
For these situations, open Exceptions.
Here, we can add Leave, Holiday, Special availability, or a Blocked slot.
For example, if Dr. Ayesha has a department meeting, we can block only that particular period and record the reason.
This lets us handle temporary schedule changes without modifying her regular weekly availability.
For this demonstration, we'll leave the appointment time we need available.
Now, there's one final part of the doctor setup.
Open Fees.
Here, we can configure different charges for different types of visits.
Set the Consultation fee to six hundred rupees.
Set the Follow-up fee to four hundred rupees.
And set the Emergency fee to nine hundred rupees.
The currency is Indian rupees.
These fees will automatically become available to the booking workflow based on the selected visit type.
So, when reception books a standard consultation with Dr. Ayesha, the configured consultation fee will be used.
Review the values, and select Save fees.
Our doctor setup is complete.
Let's quickly verify everything.
Zara Iqbal is active with the Receptionist role.
Sana Malik is active with the Nurse role.
And Dr. Ayesha Khan has an active doctor profile under General Medicine.
She accepts appointments.
Her working schedule is configured.
And her consultation, follow-up, and emergency fees are ready.
With that, our OPD team is ready.
Now we can move from hospital setup to the actual patient journey.
Our patient is Aarav Mehta.
He's thirty-four years old, and he's visiting Hussaini Hospital with fever, headache, and fatigue for the past two days.
In the next video, we'll sign in as Zara at reception.
We'll create Aarav's patient profile, book his consultation with Dr. Ayesha, create the OPD bill, record his payment, and check him into the queue.
From there, we'll follow the same patient through nursing and, finally, the doctor's consultation.
